Submission File Checklist
-
The following separate files must be uploaded during submission:
Authors are advised to prepare each file carefully according to the instructions below before uploading.
- Main Manuscript File (blinded)
- Separate Title Page
- Cover Letter
- Authors Declaration Form (3-in-1: Authorship, Contributions, Competing Interests, and Copyright & License Agreement)
- Ethical Approval Document (for experimental animal studies)
- ARRIVE 2.0 Checklist (for experimental animal studies)
- Owner Consent Confirmation (for studies involving client-owned animals)
- Figures (uploaded separately)
The Authors Declaration Form (3-in-1) consolidates several mandatory declarations into a single document, replacing the need for separate signed statements (Author Contributions, Conflict of Interest, and Copyright/License Agreement).
Please note that key elements from this form (e.g., Author Contributions and Conflict of Interest) must also be included within the manuscript itself as part of the Mandatory End-of-Manuscript Statements.
All files must be clearly labeled. Incomplete submissions may be returned without review.
1. Main Manuscript File (Blinded Version)
The Main Manuscript File must be submitted in .doc or .docx format (Microsoft Word compatible format). Files prepared in other word-processing software must be exported to .doc or .docx prior to submission.
The document must be formatted in A4 page size. Use of the official AVM manuscript template is strongly recommended.
The manuscript file must:
- Contain the complete text of the article.
- Include only the article title on the first page (no author names or affiliations).
- Be fully anonymized to ensure double-blind peer review.
- Include continuous line numbering.
- Follow the required article structure according to the selected article type.
- Contain tables and figure legends placed at the end of the document.
Figures must not be embedded within the manuscript file and must be uploaded separately as individual files.
Authors are responsible for ensuring that the file does not contain identifying metadata or hidden tracked changes prior to submission. Additionally, when using reference management software such as EndNote or Zotero, all references must be converted to plain text prior to submission, with all field codes removed.
2. Separate Title Page (Mandatory)
The Title Page must be uploaded as a separate file and must contain:
- Full article title (maximum 110 characters including spaces).
- Full names of all authors.
- Author affiliations indicated by superscript numbers (1, 2, 3, etc.).
- Full institutional affiliations listed below the author names (institution, department, city, country).
- The corresponding author marked with an asterisk (*) in superscript.
- A footnote stating: Corresponding Author: email address.
- Total word count (excluding references, tables, and figure legends).
- Number of References.
- Article type.
The manuscript file itself must contain only the article title and must not include author-identifying information.
Manuscripts exceeding recommended word limits may be returned prior to peer review.
3. Cover Letter (Mandatory)
A cover letter must be submitted as a separate file during the submission process.
The cover letter must briefly explain:
- The scientific contribution and main findings of the manuscript.
- Why the manuscript fits within the scope of Archives of Veterinary Medicine.
- The originality of the work and confirmation that it is not under consideration elsewhere.
- Confirmation that all authors have approved the submitted version.
Authors are required to suggest two potential reviewers. Each suggested reviewer must include full name, institutional affiliation, and email address, along with a brief justification of expertise.
Suggested reviewers must not be affiliated with the same institution as the authors and must have no known conflicts of interest.
The final selection of reviewers remains at the sole discretion of the Editor.
The official AVM Cover Letter template is available within the AVM Manuscript Submission Toolkit 2026 and should be used when preparing the document.
4. Ethical Approval Documentation
All studies involving animals must comply with relevant institutional, national, and international guidelines for animal welfare and ethical research conduct.
For studies involving experimental animals, authors must provide documented approval from an appropriate institutional or national Ethics Committee. The approval document must be submitted as a separate file during manuscript submission and must include:
- Name of the approving authority.
- Approval reference number.
- Date of approval.
- Confirmation that approval was obtained prior to the start of the study.
If ethical approval was not required, authors must clearly justify this in the manuscript.
5. ARRIVE Guidelines Compliance
For manuscripts reporting studies involving live experimental animals, authors must comply with the ARRIVE (Animal Research: Reporting of In Vivo Experiments) guidelines.
Authors are required to submit a completed ARRIVE 2.0 Essential 10 checklist as a separate file during submission. The checklist must clearly indicate the manuscript page numbers where each item is addressed.
The required checklist template, ARRIVE_2.0_Essential_10_Checklist_AVM_2026, is provided as part of the AVM Manuscript Submission ToolKit 2026 and must be used without modification.
Manuscripts involving experimental animal studies submitted without a completed ARRIVE checklist will not be sent for peer review.
6. Owner Consent Statement
For studies involving client-owned (companion or privately owned) animals, authors must confirm that informed consent was obtained from the animal owner prior to inclusion in the study.
The owner consent must confirm that:
- The owner was informed about the nature and purpose of the study.
- The owner voluntarily agreed to the inclusion of the animal in the research.
- The owner agreed that anonymized data may be used for scientific publication.
Where applicable, a signed owner consent form must be submitted as a separate file during manuscript submission.
Information regarding owner consent must be included within the Ethical Statement in the end-of-manuscript section.
Manuscripts lacking appropriate consent documentation will not be considered for peer review.
7. Author Declarations Form (Mandatory)
All submissions must include a completed and signed Author Declarations Form (3-in-1 AVM 2026) as a separate file during submission.
This unified document combines the following mandatory components:
- Authorship and Author Contributions Statement (CRediT taxonomy)
- Conflict of Interest Statement
- License to Publish / Copyright Agreement
The official template, Authors Declarations Form 3-in-1 AVM 2026, is provided as part of the AVM Manuscript Submission ToolKit 2026 and must be used without modification.
Within this form, authors are required to:

Archives of Veterinary Medicine operates a double-blind peer review system. The identities of authors and reviewers are concealed throughout the review process.
All submitted manuscripts undergo an initial editorial and technical screening before external peer review. During this stage, the Editor-in-Chief and the Editorial Office evaluate whether the submission:
-
Fits within the journal’s scope,
-
Complies with structural and formatting requirements,
-
Includes all mandatory end-of-manuscript statements,
-
Is properly anonymized for double-blind review,
-
Contains required ethical documentation (where applicable),
-
Includes ARRIVE checklist for experimental animal studies (where applicable),
-
Meets basic methodological and statistical standards,
-
Discloses any use of artificial intelligence (AI) tools,
-

Manuscripts that do not meet these criteria may be returned for technical correction or rejected without external review (desk rejection).
Manuscripts passing the initial screening are sent to at least two independent expert reviewers. Reviewers are selected based on subject expertise, academic competence, and absence of conflicts of interest.
Reviewers are asked to evaluate manuscripts based on:
-
Originality and scientific relevance
-
Methodological rigor and statistical validity
-
Ethical compliance
-
Clarity of presentation
-
Contribution to the field
Based on reviewers’ reports, the Editor may reach one of the following decisions:
-
Accept as submitted
-
Minor revision
-
Major revision
-
Reject
If reviewers provide substantially divergent recommendations, the manuscript may be sent to an additional reviewer for further evaluation.
The final decision regarding acceptance or rejection rests with the Editor-in-Chief.
Authors may be invited to revise their manuscript. A detailed point-by-point response to reviewers’ comments must accompany all revised submissions.
Authors who believe that a decision has been made in error may submit a justified appeal to the Editor-in-Chief. Appeals are evaluated objectively and may involve consultation with members of the Editorial Board.
All participants in the peer review process are expected to adhere to the journal’s ethical standards and confidentiality principles.
Editorial Process and Expected Timeline
The journal is committed to ensuring a transparent, fair, and timely editorial process. The approximate timeline for manuscript handling is outlined below.
1. Initial Editorial Screening (1–7 days)
Upon submission, manuscripts undergo an initial technical and editorial assessment. This stage includes:
- Verification of technical formatting and structural compliance;
- Confirmation that all mandatory submission documents have been provided;
- Plagiarism screening;
- Screening for inappropriate or undisclosed use of artificial intelligence tools.
This preliminary evaluation typically takes between 1 and 7 days, depending on the number of submissions received.
2. Reviewer Invitation Stage
If the manuscript meets all initial requirements and falls within the journal’s scope, the handling editor invites potential reviewers.
Invited reviewers are normally given up to 7 days to accept or decline the review request. In some cases, reminder invitations may be necessary.
3. Peer Review Period (Approximately 21 days)
Reviewers who accept the invitation are requested to submit their evaluation within 21 days. However, depending on reviewer availability and manuscript complexity, this period may occasionally be extended.
4. Author Revision Period (Up to 4 weeks)
After receiving reports from at least two independent reviewers, authors are notified of the editorial decision.
Authors are expected to submit revised manuscripts and a detailed point-by-point response to reviewer comments within a maximum of 4 weeks.
If authors require additional time, they must request an extension. In the absence of communication or justified delay, the editor reserves the right to withdraw the manuscript from further consideration.
5. Reviewer Availability Limit (Up to 6 months)
In rare cases where suitable reviewers cannot be secured despite repeated attempts, and the review process cannot be initiated within a period of up to 6 months, authors will be formally notified.
At that stage, authors may choose to withdraw their manuscript and submit it to another journal if they wish.
Publication, Open Access and DOI
Archives of Veterinary Medicine is a Diamond Open Access journal.
